Summer Activity Club – Terms & Conditions
The Space @ Field Lane Community Hub
1. Booking & Eligibility
- Places are limited and must be booked in advance.
- This programme is for children aged 7–11.
- Priority is given to children living in the HD6 3 postcode area.
- A completed registration form must be submitted before a place is confirmed.
2. Attendance
- The club runs Monday to Friday, 8:30 AM – 4:30 PM during the advertised weeks.
- Children should attend the sessions they are booked onto.
- If your child is unable to attend, parents/carers must inform us as soon as possible.
- Repeated unexplained absence may result in the place being offered to another child.
-If your child does not attend or we haven’t heard from you on the day your child is booked on by 9.30am, we will offer this place to another child.
3. Arrival & Collection
- Children must be signed in and out each day by a parent/carer or authorised adult.
- Only individuals listed on the registration form will be permitted to collect a child.
- Proof of identity may be required.
- Late collection may result in further action and/or loss of place if persistent.
4. Health & Medical Information
- Parents/carers must provide accurate and up-to-date medical information.
- Any changes to medical conditions or medication must be reported immediately.
- Any Medication required during the day must be cleared with staff that we are able to administer, if not your child will not be able to attend.
- In the event of illness or accident, staff will contact parents/carers and seek medical assistance if necessary.
5. Behaviour Expectations
- We aim to provide a safe, inclusive, and respectful environment for all children.
- Children are expected to behave appropriately and follow staff instructions.
- Serious or persistent disruptive behaviour may result in a child being withdrawn from the programme.
6. Activities & Trips
- The programme may include off-site visits and trips.
- Parents/carers give consent for their child to take part in planned activities unless stated otherwise.
- All reasonable safety measures will be taken, and risk assessments carried out.
7. Food & Dietary Needs
- Breakfast, lunch, and snacks are provided.
- Parents/carers must inform us of any allergies or dietary requirements.
- We cannot guarantee a completely allergen-free environment.
8. Personal Belongings
- Children should bring appropriate clothing for activities and weather conditions.
- The Space @ Field Lane Community Hub or Little Zoo to You, cannot be held responsible for lost, stolen, or damaged personal items.
9. Photography & Media
- Photos/videos may be taken for promotional and reporting purposes where consent has been given.
- Parents/carers can withdraw consent at any time.
10. Cancellations & Changes
- We reserve the right to make changes to the programme where necessary.
- In exceptional circumstances, sessions may need to be cancelled. Parents will be informed as soon as possible.
11. Safeguarding
- We are committed to safeguarding and promoting the welfare of children.
- Any concerns regarding a child’s safety will be dealt with in line with safeguarding procedures and may be shared with relevant authorities if required.
12. Liability
- All reasonable care will be taken to ensure the safety of children.
- Participation in activities is at the parent/carer’s and child’s own risk, except in cases of proven negligence.
13. Agreement
By booking a place, parents/carers confirm that:
- The information provided is accurate and complete
- They agree to these Terms & Conditions
- They understand the expectations outlined above
